Content Management Best Practices

T​hese standards establish best practices for component leaders who manage their chapter, council and community websites.

​General

Keep content up to date

One of the most important aspects of good content management is ensuring your web content stays up to date. Keeping web content fresh provides better user engagement and search engine rankings.

Link promotions of global IFMA events to the actual IFMA conference websites to ensure users are seeing the most up-to-date information. Remember to hide promotions of events immediately after the event is over.

Links

Hyperlink references to URLs or email addresses. Set links pointing to URLs located outside of the website to open in a new browser tab instead of the same window.

Spelling and grammar

Double check spelling ​and grammar of all content before posting online.

Sponsor logos

Size sponsor logos ​consistently to each other to ensure you're representing your supporting companies equally.

Formatting

Headings

Use HTML headings to title content sections on each page.

  • Always use the H1 ​HTML heading tag to format page titles.
  • Start subsequent headings at ​H2 and follow a hierarchical pattern (​H3, H4, etc.) for nested sections.

  • Don’t bold paragraph text with the intent of giving a “heading” look if the purpose is to title or label a section of content.
  • Only use bold text to add emphasis to text within a paragraph.

Images

Images embedded inline with text should have outside margins flush with body content and contain consistent margins around the inside of the image.

Spacing

Don't use empty paragraph tags or extra line breaks to space apart elements on a page. Set element spacing consistently with the website stylesheet.

Inline styling

Don’t use inline CSS to change fonts, font sizes and text color to deviate from the main website stylesheet. Code content styling in the main stylesheet so that all content is displayed consistently.

If needed, only use inline styling for customization ​in unique, rare and isolated situations not applicable to other parts of the website.

Content usage

Protect the privacy of IFMA members.

Do not display the names or contact info of any IFMA member except for the component leadership (chapter or council executive committee, chapter or council administrators and committee chairs).

Do not post anything considered copywritten, confidential or proprietary to the association.

Example: Do not post copies of IFMA publications or training materials. However, we encourage you to link to those items' respective websites.

You may not use photos and graphics, including icons and backgrounds found on IFMA’s website and in IFMA’s collateral materials, without prior approval from IFMA. Be aware that copyright or purchase agreements may be in place and have contractual limitations for use.

Do not use photos or graphics found through a search engine without permission from their owner.

Submit links to competing or related associations for review by IFMA prior to placing them on ​the website.

IFMA will need to evaluate such requests to ensure the integrity of the association is not compromised.

Links to sponsor websites can be posted. However, be sure not to reference or link to competing commercial enterprises in other places on ​the site.

Practice common sense.

Do not post sensitive material — jokes, cartoons or links to websites that may be offensive or controversial.
